Part-Time Office Manager Wanted

South of Shasta is looking for a part-time Office Manager. EVERYONE that's worked for me in the past has gone on to find a better full-time job. Need more skills on your resume? Note: while this job is part-time, it is not entry-level. The ideal candidate is someone with prior experience as an Office Manager or similar job. What we really need is somebody who’s been an Office Manager before, but now only needs 15-ish hours a week of employment.

The rough job description is like so —

South of Shasta is a small consulting business, building web/mobile things for various clients, and teaching computer programming classes (and bits of freelance music production). We need someone to help with the day to day tasks and other internal projects as they come up. While this Office Manager gig is part-time, this business is my ENTIRE living. The Office Manager position is a serious job and needs to be taken seriously. (I know that sounds a little harsh. Here's the thing: I keep running into people that see "part time" and think this is a laid-back entry-level job for a high school kid -- it's not. I'm trying to prevent the confusion from happening again.)

Attention to detail. Exceptional communication. Ability to see the big picture and manage themselves as well as helping ME to stay on track. These are all a huge part of the job. That is not boilerplate text -- if you lack the ability to "look around and see what needs to be done", this is not the job for you.

You’ll need to be reachable during the business day — this is not a “nights and weekends after the kids are asleep” thing.

Some other details --

Every receipt I have gets logged into an expense report and tracked for taxes. Every check I get from clients also gets logged into an "invoice tracker". Various other office paperwork and tax related items pop up regularly too, including meeting with the accountant 1 or 2 times a year to handle things for me, etc.

Sometimes the tasks are more "research this and nag me to do it" in nature. Things like: finding a dental insurance plan that will let a 1-man company sign up and nagging me about it until I do so; calling clients that are delinquent in their payment; sending professionally worded emails to clients, etc. Occasionally the work includes music business research -- finding out the rules for including cover songs in a project, stuff like that. Or just running to Kinkos and printing/cutting 200 copies of something. It varies from week to week.

Experience with the typical apps (Word, Excel, Acrobat, a modern web browser) should be a given. Ideally you also know how to use an FTP client and have a little experience with PhotoShop or something similar too — i.e. you know how to crop images, and convert them from JPG to PNG.

Extra points for anything else techie related you can do that would be helpful. Do you know how to “view source” on a web page? Do you know how to scan images on a flatbed scanner? Any experience using a CMS like WordPress? Do you know why WordPress is horrible? :)

The more interest you have in the music industry, the better. Occasionally I need help with music business stuff — sending CDs to CDBaby, filing publishing paperwork, other music promo related tasks. Have you used Audacity (or something similar) before?

The actual days/hours each week will vary some based on my travel schedule — we’ll sort that out with each other as we go. You let me know which days work for you, I’ll do the same. We can work together to pick the days/times each week that we’ll sync up — it’s usually pretty flexible.

You’ll need your own laptop, cell phone, and transportation. My home office is in East Sac — some of the work needs to be done here, some can be done remote — it depends on the task and deadline. Ideally we’ll meet in person at least 1 day each week.

Exceptional attention to detail is required.
